Dear Robyn,
I hope that you are well.
I can gladly report that our exams are over and we are recommencing work on our City-Country Exchange Program!
Unfortunately there are only three of us in the country at the moment as Naomi has gone on vacation to Europe and Vio has returned home to Indonesia. That leaves Jack, Nick and I at the reigns of the project. Nevertheless, we are confident that we can still make good progress these holidays before semester resumes. This will involve close coordination with you to work through the details of the project.
I should probably begin by updating you with what has been happening at our end. Prior to the 3rd of June we submitted a proposal for our project to Rita Manessis. This proposal included the general aims of our project etc. as well as the budget. There are various aspects of the proposal that need to be reworked because we did not have the necessary information on hand at the time of writing.
In particular, we need to undertake a costing of many of the items in the budget. I have begun this morning by creating an itinerary of all of the activities that we will be undertaking in Melbourne along with the expense associated with each. What we now need to do is create an itinerary for our trip to Loddon Shire. I have been looking at your fantastic Loddon Shire Discovery Tours and was wondering if we could tailor one of them for our exchange (we’d need to include visits to the schools and meetings with Loddon students in the itinerary for planning purposes). If you can tell us how much the cost will be per student then we can incorporate this expense into our budget. It is critical that we get our figures together as quickly as possible because we are looking to submit applications for university funding.
It would probably be a good idea if we could also select dates for the Melbourne to Loddon Exchange. This will enable us to start booking the required services because I imagine that many of these will get busy over the holidays. As discussed previously, we are looking to bring a group of Melbourne students up for a period of five days (including the two travel days) during the September holidays. Our availability extends from Tuesday the 20th of September until Sunday the 2nd of October. Is there are a period within this timeframe that best suits you?
We need to find a university college willing to host the Loddon students in Melbourne before we can tell you what dates the reverse exchange will be occurring. Hopefully we will have found one by the conclusion of the winter break.
And finally, I was wondering if you had heard anything from the school principals regarding our meeting on Friday the 22nd of July? I think Naomi was doing much of the organising of the meeting (I wasn’t involved) but with her gone it’s now up to us remaining team members to keep the ball rolling. Please tell me if I need to phone the principals to make sure that they are prepared to meet with us on the specified date.
